Privacy Policy

NextGen Health Insurance Advisors (“NextGen,” “we,” “our,” “us”) helps consumers evaluate and enroll in health-insurance and related products.  Effective Date: 01/01/2025

This Privacy Policy explains how we collect, use, disclose, and protect information when you visit nextgenhia.com, contact us, or work with us as a client or partner. This website policy is separate from any HIPAA Notice of Privacy Practices that may apply when your information is handled by a carrier/health plan.


  • Contact & Identity: name, email, phone, mailing address, date of birth, household members.  Some Health Insurance applications also require the collection social security numbers but that information is never collected on our site..
  • Eligibility & Application Details (ACA/SHOP/ancillary): household size, income ranges, prior coverage, subsidy eligibility details (e.g., APTC/CSR context), preferred providers/plans, uploaded documents (e.g., pay stubs, 1095-A, etc.).
  • Professional/Partner Info (for independent agents): NPN, licensing, E&O, states appointed, scheduling links.
  • Technical Data: IP address, device/browser type, pages viewed, referral URLs, and cookies (see “Cookies & Tracking”).
  • Communications: emails, call notes, and text/SMS messages (see SMS section below).
     

We generally do not collect payment card numbers on our site. If a carrier or marketplace collects your payment information, their terms and privacy policies apply.


  • You provide it (forms, emails, phone, SMS).
  • Referrals/Partners (e.g., agents who introduce you to us).
  • Marketplaces & Carriers (when we assist with your application or service).
  • Tools we use (e.g., Google Workspace, HubSpot, Calendly, Airtable, Dropbox, Twilio/SMS providers) in the course of operations.


  • Provide services you request (plan comparisons, applications, servicing, renewal reminders).
  • Communicate about appointments, document requests, enrollment status, and support.
  • Operate, secure, and improve our website and internal systems; train our team.
  • Comply with law, carrier and marketplace rules, and defend our rights.
     

We do not use your information for unrelated third-party marketing.


If you opt in, we send non-marketing, transactional texts (appointment reminders, document requests, status). Message frequency varies; msg & data rates may apply. Reply STOP to opt out, HELP for help. See our SMS Terms below for more details:


Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes. Any other mentions in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. If you wish to be removed from receiving future communications, you can opt out by texting STOP.


We share information as needed to deliver services and comply with rules:

  • Carriers & Marketplaces (to prepare/submit your application or service your policy).
  • Referral/Agent Partners (when they introduced you or are servicing your case).
  • Service Providers (e.g., Google Workspace, HubSpot, Calendly, Airtable, Dropbox, Twilio/SMS platforms, analytics and security vendors) under agreements limiting their use.
  • Legal/Compliance (to meet legal requirements, prevent fraud, or protect rights).
    We do not sell your personal information.


We are typically not a HIPAA “covered entity.” When we handle protected health information (PHI) in connection with a carrier/plan, we treat it confidentially and in accordance with applicable obligations (e.g., carrier agreements and law). This website Privacy Policy is not a HIPAA Notice of Privacy Practices; carriers/health plans provide those notices.


We (and service providers) may use cookies and similar technologies to operate and improve the site, remember preferences, and measure performance. You can adjust browser settings to block cookies, but some features may not work.


We use reasonable administrative, technical, and physical safeguards (e.g., access controls, MFA where available, least-privilege practices). No system is perfectly secure; please use caution when sending sensitive information.


We retain information as needed to provide services and meet legal, regulatory, carrier, and marketplace requirements (including record-keeping of consent and application support), and then delete or de-identify it consistent with our policies.


  • Access/Update/Delete: Email us to request access or corrections, or to request deletion where permitted.
  • Opt-Out of SMS: Reply STOP to any message.
  • Email Preferences: Use unsubscribe links or contact us.
  • State Privacy Rights: Depending on where you live (e.g., CA, CO, CT, VA, UT), you may have additional rights to access, delete, correct, or opt out of certain data uses. We honor valid requests—email us using the contact info below.


Our services are directed to adults. We do not knowingly collect personal information from children under 13 without appropriate consent/authorization for insurance purposes.


Our site may link to third-party sites or tools. Their privacy practices are governed by their own policies.


Our services are intended for US residents. If you use our site from outside the US, you consent to processing in the US.


We may update this Privacy Policy from time to time. Material changes will be posted with a new “Effective Date.”

SMS Terms & Privacy Policy

  • Operations Alerts (Internal): Texts to staff and contracted agents regarding health-insurance sales operations (e.g., new lead assigned, follow-up reminders, enrollment/Closed-Won status). Non-marketing.
  • Client Updates: Texts to clients regarding appointments, application/status updates, document requests, and payment reminders. Non-marketing.


  • You opt in by providing your mobile number and checking the SMS consent box on our onboarding or intake forms, or by replying to a confirmation text we send. In some cases, you may also opt in by texting a keyword we provide (e.g., JOIN) or confirming via reply (e.g., YES).
  • By opting in, you authorize NextGen Health Insurance Advisors to send transactional SMS to the mobile number you provide, which may use automated technology. Consent is not a condition of purchase (clients) or of employment/contract (agents).


Frequency varies based on your activity (e.g., higher volume during Open Enrollment). Typical internal alerts: a few per day per recipient; client updates: up to several per week during active enrollment periods.


Message and data rates may apply. Check your mobile plan for details.


  • You can opt out at any time by replying STOP to any message. After you send STOP, we will send a one-time confirmation SMS and then cease messaging the opted-out program.

  • To resume messages after opting out, text START (or UNSTOP/YES as supported by your carrier).


Message delivery may be subject to your mobile carrier’s network availability. Carriers are not liable for delayed or undelivered messages.


By opting in, you confirm you are the current subscriber or customary user of the mobile number provided and are 18+ (or have parental/guardian permission).


  • We collect your mobile number, message content, delivery information, and related metadata to provide the SMS programs described above. We do not sell your personal information.
  • We share data with service providers who help us deliver messages (e.g., Twilio) under contracts that restrict use of your data to providing the service.
  • We retain SMS data for as long as needed for operational purposes and legal compliance.
